General terms and conditions

THE FORMAT OF 'ART IN OOTMARSUM':

The event consists of a presentation of a varied range of visual arts, in a form that is accessible to a broad audience. The showing and demonstration of techniques are particularly appreciated. As much as possible, participants should exhibit their own work. Mass-produced products intended for trade are not allowed.

ORGANIZATION:

The organisation of 'Art in Ootmarsum' (KiO) is in the hands of the 'Stichting Kunst in Ootmarsum' (Art in Ootmarsum Foundation). The 'Stichting Kunst in Ootmarsum' is a group of volunteers who organise the art event for you, the participating artists, for the art-loving public, and for the town of Ootmarsum.

LOCATION:

KiO takes place around the Simon and Judas Church, the Church Square, and in a number of adjoining streets. In addition, there are very limited locations available for additional exhibitions. These are mainly spaces in rooms and/or catering establishments.

SETUP:

Participants are provided with a metal/wooden market stall with a white canopy or a white pagoda tent. The stalls are approximately 4 meters long and 1.5 meters deep. The pagoda tents are 4x3 meters and can also be closed with a zipper.

Participant cards are provided by the KiO organisation.

One chair is provided per stall/pagoda tent.

One table is also provided per pagoda tent.

At the end of the art event, the table and chairs should be present in the empty stall/pagoda tent.

TIMES:

KiO takes place in 2023 on Friday 25, Saturday 26, and Sunday 27 August.

Opening times of the Art Event:

  • Friday from 12:00 pm to 6:00 pm.
  • Saturday and Sunday from 11:00 am to 5:00 pm.

The KiO information stand is manned from 9:00 am and participants must register at the information stand for all 3 days.

After registration, participants can start setting up their stall or pagoda tent.

PARTICIPATION:

Participation in KiO applies for the entire three days of the art event.

The participant may participate in KiO if he/she has completed the registration form provided on the website truthfully and completely, if the registration fee has been fully and timely paid, and if the participant has agreed to the applicable terms and conditions.

All registrations undergo a selection process, and the final admissions are made by the Selection Committee.

The number of admissions and placement capacity also depend on the Municipal Regulations concerning Permits and Safety Plan.

Participation in the art event is done personally by the registrant/participant. It is not allowed to have someone else participate in the art event on behalf of the registrant/participant.

PARTICIPATION COSTS:

The stall fees are listed on the KiO Registration Form.

The stall fees must be paid timely (no later than 1 month after receipt of KiO participation confirmation) to bank account number:

NL73 RABO 0305 9846 59.

CANCELLATION:

  • In case of cancellation before 4 weeks prior to the start of the art event, the entire amount will be refunded.
  • In case of cancellation between 4 weeks and 1 week before the start of 'Art in Ootmarsum', 50% of the paid stall fee will be refunded.
  • In case of cancellation after 1 week before the start of the art event, for any reason whatsoever, no refund of the paid stall fee will be made.
  • In case of failure to fully pay on time, i.e., no later than 1 month after receipt of KiO participation confirmation, the right to participate is automatically forfeited.

POWER SUPPLY:

There is no power supply in the market stalls. To a limited extent, if necessary/essential, a power connection point can be arranged if already indicated on the registration form. The connecting cords with a CEE plug (a so-called camping plug), etc., must be provided by the participant/user.

PUBLICITY:

KiO is promoted regionally, nationally, and internationally through posters, social media, and press releases. In addition, if possible, a color brochure, art newspaper, and/or glossy magazine will be published before/during the art event.

For publicity purposes, it is desirable that participants provide information and illustration materials to KiO early on (already at registration), so that various art editors can be provided with sufficient material.

The organization will process the information provided to the best of its knowledge and publish it in its publications. It will not be liable for any errors that may occur in this process. The documentation material sent becomes the formal property of the Kunst in Ootmarsum Foundation. The image rights remain with the respective artist. The 'Stichting Kunst in Ootmarsum' may use these images for its event in the broadest sense without additional compensation and/or restrictions.

PLACEMENT INSTRUCTIONS:

The organization will prepare a definitive layout of 'Art in Ootmarsum'. Placement instructions will be given based on this layout. An overview of this is available at the information stand.

SALES:

If products are offered for sale, the participant must clearly indicate the prices. Unpriced items are assumed to be not for sale.

KiO adheres to a strict Privacy and Cookie Policy. We take your privacy very seriously and handle your personal information and data carefully.

PERSONAL DATA PROTECTION ACT:

KiO only uses data that has been expressly and voluntarily provided by persons who visit our website or attend our event. All (personal) data collected through telephone, request registration forms, social media, and other means are obtained voluntarily. When using this data, KiO complies with the Personal Data Protection Act.

STORAGE OF DATA:

By agreeing to the terms and conditions, the participant consents to the storage of personal data in a KiO relationship management system, until revoked by the participant. The system is highly secure. The data will not be made available to third parties in any way. They will not be lent, rented, or sold, nor will they be disclosed in any other way. The data will only be used for the purposes of the Kunst in Ootmarsum Foundation.

LIABILITY:

Participation in KiO is at your own risk.

The KiO organization is not liable for personal and/or business damages resulting from their participation in Art in Ootmarsum.

Participants must arrange for their own personal and/or business insurance.
